Permaculture Tasmania Committee and Volunteer Descriptions
PLEASE NOTE: All executive and ordinary members and volunteers must be financial members of Permaculture Tasmania
PRESIDENT
The president is co-responsible for governance, strategic leadership, and representing the organization to the public. The position focuses on furthering the organization’s social and community mission; including organisational development and advocacy.
Key duties include:
- Strategic Leadership: Driving the strategic direction, planning, and long-term goals.
- Governance & Compliance: Ensuring the organization operates legally, ethically, and in accordance with its constitution.
- Committee Management: Chairing meetings, setting agendas (usually with the secretary), and fostering productive relationships among committee members. Ensuring that Executive committee members are fulfilling their duties.
- Spokesperson & Representation: Acting as the primary public face of the organization, attending functions, and meeting with stakeholders or government representatives.
- Financial Oversight: Working with the Treasurer to ensure sound financial management and reporting.
- Liaise with the website volunteer to ensure continuity of strategic, advocacy & membership-related content.
VICE-PRESIDENT
The vice-president is responsible — in the President’s unavailability or absence — for governance, strategic leadership, and representing the organization to the public.
Some of the President’s non-governance duties may be devolved to the Vice President on written agreement at the start of or at any time during the tenure of both positions, and should be confirmed in writing to the secretary and noted at a committee meeting.
SECRETARY
The secretary is a critical governance officer responsible for ensuring legal compliance with the Public Officer, managing Committee administration, and maintaining accurate records. They act as a liaison between the Committee and the Executive, handling meeting agendas, minutes, and official reporting. They act as the primary contact for organisational inquiries via phone, email and website.
Key Duties include:
- Schedule meetings
- Prepare and disseminate agenda in the week before each meeting
- Recording, preparing and disseminating minutes of each meeting in a timely manner
- Assist with annual returns
- AGM preparation
- Monitor and action organisation email account
- Liaise with the website volunteer to ensure continuity of governance-related content
TREASURER
The treasurer (or financial officer) manages the financial duties of the organisation, though the financial affairs of the association remain the responsibility of all committee members
Key duties include:
- Prepare a monthly financial report (expenses, including any fees and income, balances of bank account and Paypal) and email to the president, vice president and secretary.
- Prepare an annual financial statement for auditors and circulate to committee prior to the AGM or due date for the reporting period.
- Seek committee approval for payment of invoices over $200
- Fulfil/pay invoices received
- Process membership payments
- Ensure renewal of organisation domain name and hosting, and any organisational statutory body memberships.
- Checking the off-website, cash and square payments and ensuring the memberships are then activated or chased up by the Membershio Officer.
PUBLIC OFFICER
The public officer is responsible for lodging annual returns, updating address changes within 14 days, and serving as the contact for legal documents.
Key Duties:
- Compliance & Filing: File the Annual Return and notify CBOS of any changes to the Association’s rules, name, or the public officer’s address.
- Legal Contact: Act as the person on whom legal documents and notices are served.
- Administration: Maintain custody of the association’s seal, manage correspondence with regulators (e.g., CBOS).
- Liaise with the website volunteer to ensure continuity of governance-related content on the website
- Ensuring governance is compliant, up to date and reflects practices (and where possible best practice).
PLEASE NOTE: Any public officer nominated or appointed must be aged 18+ and reside in Tasmania in order to fulfil Consumer, Building and Occupational Services(CBOS) requirements.
MEMBERSHIP OFFICER
The Membership Officer manages the end-to-end member lifecycle, including recruitment, onboarding, renewals, and retention, whilst maintaining database integrity
Key duties include:
- Supporting engagement strategies to drive organisational mission & membership recruitment & retention
- Creating partnerships for member benefits
- Maintaining and updating the membership database, including inputting paper memberships
- Sending membership packs
- Providing the secretary with an updated monthly membership list
- Liaising with the website volunteer to ensure continuity of membership-related content on the website
LOCAL GROUP LIAISON OFFICER
Key duties include:
- Liaise with Local Group Leads and be a point of contact and reporting between the Local Groups and the Permaculture Tasmania Committee
- Where able attend Local Group startup meetings and advise / assist to setup and ensure compliance (or devolve to geographically closer PT Committee member).
ORDINARY COMMITTEE MEMBER
Ordinary Committee Members have the same general legal duties as Executive Committee Members: the duty to act with reasonable care and diligence, the duty to act in good faith in the best interests of the association, and the duty to ensure that the association does not trade while insolvent (which means not allowing the association to incur debts it cannot repay or is likely to be unable to repay). Committee members may also have obligations under the association’s rules – these commonly include requirements to disclose personal interests in matters being considered by the committee and restrictions on voting where a conflict exists.
Key duties include:
- Attending monthly meetings
- Participate in decision-making whether via email, in-person, online or telephone
- Be generally available to represent the organisation at events requiring organisational participation – ie events which are aligned with the organisation and which the organisation chooses to participate in and which are generally public facing.
LOCAL GROUP LEAD
The Local Group Lead represents the local group at the Permaculture Tasmania
Committee level.
Key duties include:
- Providing liaison between the Local Group and the Permaculture Tasmania Committee &/or Local Group Liaison
- Attending Monthly Permaculture Tasmania meetings
- Abiding (along with the two other Local Group Leads for their Local Group) with the Local Group Guidelines.
WEBSITE VOLUNTEER (not currently vacant)
The website volunteer role focuses on:
- Maintaining the website by regularly updating WordPress Theme and Plugins and troubleshooting any problems that arise
- Managing integration with PayPal or any other online payment methods
- Reviewing hosting requirements for the future
- Reporting and advising to monthly committee meetings on any website related issues
- Joining with the Membership Team to identify new members and check payments
- Joining the Communications Team to compile member newsletter and other member communications, as well as uploading new content to the website whether that’s photos, texts or blog posts
- Managing emailouts via Mailpoet
- Keeping the event and organisation listings up-to-date
SOCIAL MEDIA VOLUNTEER
The social media volunteer role focuses on:
- Increasing community engagement, organisation awareness and membership recruitment & retention through storytelling.
- Administering and moderating the PT pages on Facebook, Instagram, YouTube & Telegram
- Regularly posting our news, updates, events and other permaculture related content.
- Co-moderation of content via referral to the Media Policy to engage, remove or escalate to Executive if not permaculture-related or in line with ethics.
- Reporting to monthly committee meetings on any social media related issues
- Liaising with the website volunteer to ensure any relevant website and social content is cross-promoted.
NEWSLETTER VOLUNTEER
The newsletter volunteer role focuses on:
- Calling for, collecting and collating content for the newsletter
- Liaising with the Website & Social Media Volunteers to ensure content call-out is promoted via electronic channels, and that other channels’ content is considered for inclusion.
- Publishing the newsletter in PDF format using a content creation app ie Canva
- Liaising with the Website volunteer so that the content is transferred to the website for full MEMBER viewing only, and is available to send out to members via the website.
- Reporting to monthly committee meetings on any newsletter related issues
- Ensuring all content abides by the Permaculture Tasmania content submission policy guidelines.
How can I nominate someone or myself for the committee?
To participate in the AGM and/or stand for a position, you must be a financial member of Permaculture Tasmania. You are entitled to vote if:
- you are a current financial member
- you are a lifetime member
- your membership rights have not been suspended for any reason.
